Registering and enrolling someone

Walk through the Register or enroll steps to sign someone up for a class, a class pack, or a membership, and see exactly what is charged before you finish.

Use Register or enroll to sign someone up yourself. It asks one question at a time, so you always know what to do next. You can open it from the Register button, from a customer’s profile (Register / Enroll), from a membership or class pack page, or from a class roster (Add attendee).

The steps

The steps change with your answers. The bar at the top shows where you are, and you can select a finished step to go back to it. If the Next button cannot continue, a short line above it tells you why.

  1. Who. Search by name, email, or phone number, or choose Add a new person. If you open the window from a customer’s profile, this step is skipped. If the person has a phone number, you can tick the box to send them text messages.
  2. What. Choose A class, A class pack, or A membership. If you open the window from a product page or a class roster, this step and the next one are skipped.
  3. Choose. Pick the exact class, pack, or membership. If the person already has that membership, you see a note and you choose a different one. For a class, you can also choose How many spots? if the person is bringing others.
  4. Payment. Choose how the person pays. No choice is selected for you. See below.
  5. Billing start. For a membership paid by card (or by a payment link), choose when billing starts. See below.
  6. Price. Check or change the price. See below.
  7. Check. Look over everything. Select Change next to any row to fix it.

Step 4: How will they pay?

ChoiceWhat it does
Charge a cardUse a saved card or add a new one. You need billing access.
They paid another wayCash, check, or another method. You record it.
Use their passUse a class pack or membership the person already has. It pays for 1 spot only, and it is not offered for a new person.
Pay laterAdd them now and collect the money later (classes only).
FreeNo charge. Use this to give it as a gift.
Send a payment linkEmail the person a link to sign up and pay (memberships only).

A choice you cannot use is dimmed, and the reason is written inside it, for example “Ask the owner for billing access to use this.”

Step 5: When does billing start?

Choose one of three tiles:

  • Today. Charge today. The next payment is one billing period from today. To use a different next payment date, select Change the next payment date.
  • A later date. Nothing is charged today. Pick the date of the first payment. Then say whether the person can use the membership before that date. By default they can not. A person with billing access can choose that the person already paid another way.
  • An earlier date. Charge today for a period that already started. The date is set to the 1st of this month to start, and you can change it. You can go back up to one billing period. The screen shows the period dates and the next payment date. For a start date further back, import the member instead.

A payment link has two choices: When they accept and A later date.

Step 6: How much do they pay?

Charge today shows the amount that will be charged. For a cash or other offline payment it reads Amount received.

  • Adjust price. Type a lower price, then choose a reason: Joined part-way through the period, Discount or promotion, To make up for a problem, or Other (Other needs a short note). Only staff can see the reason and the note. You can charge less than the regular price, never more, and never exactly $0. To charge nothing, go back and choose Free.
  • Charge for part of the period. If you chose a next payment date that is sooner than one billing period away, the screen suggests a price for the days left, for example “The next payment is in 15 days. Charge for 15 days only: $86.61?” Select Use this price to fill it in. You can still type your own price.
  • The next payment is earlier than usual. Why? If you chose an earlier next payment date and you are still charging the full price today, the person would be charged twice in a short time. The screen asks you to choose a reason, and you cannot continue until you do. If you changed the price, that reason covers it and this question is not shown.
  • Ongoing price. For a membership that renews, this is the price of every payment after today. It starts as the regular price. Select Use a special price to give this person a different price. You need billing access for this.
  • Membership started on. For a membership paid another way (cash or check), the start date is today. Pick an earlier date if the membership started before today, up to one billing period back.
  • Add something else to this sale, and the Registration fee with the Do not charge this fee link, if your studio charges that fee. See Taking payment in person.

If your studio collects sales tax, a note says the tax is added on the last step.

Step 7: Check and finish

The Total today box shows what is charged now. For a membership that renews, or a membership that starts on a later date, a second line shows Total starting with the date, for example “Total starting 11/1/2026”. A box above the button says in plain words what will happen. For a card it reads “Nothing has been charged yet. The card is charged when you click Complete Registration.”

Click Complete Registration. If the card is declined, you go back to the payment step to choose another card or another way to pay. When it works, you see a summary of what was charged. Select Register someone else to start again, or Done to close.
