Save a card
Type in a customer's card after they read and agree to the screen, or record their OK for a card already on file.
You can save a customer’s card from your phone or tablet while they are with you. The customer reads a short screen, agrees, and you type in the card. Nothing is charged when you save a card.
Add a card by typing it
You can start from two places:
- Students: open the student, find Card on file under Money, and tap Add card. If they already have a card, the button says Add another card.
- Register: in the register steps, choose Charge a saved card. If there is no card, you can add one there. The new card is chosen for you when you come back.
Then follow these steps:
- Hand the phone or tablet to the customer. The screen is written for them. It says Save your card with your studio’s name. It explains that nothing is charged now and that the studio may charge the card later for classes, passes, and each membership payment. It also says they will get an email and can stop the studio from using the card at any time.
- When the customer agrees, tick the box that says The customer read this and agrees. Then tap Continue. Do not tick it for them.
- Type the card details: card number, expiry date, security code, and postal code. Cards from Apple Pay or Google Pay on your own phone cannot be added here. Type the number from the card itself.
- Confirm it is you. Backstage asks for your Face ID, Touch ID, fingerprint, or the device passcode, with the message Confirm to save a card. If the studio turned off the device check on this device, this step is skipped. See Device settings.
- Tap Save card. You see Card saved, with the card brand and the last four digits. The studio can now charge it.
The customer gets an email. It says your studio saved their card, that nothing was charged, and how to stop the studio from using the card in their account. If the customer has no email on file, Backstage tells you on the agreement screen, and no email is sent. If the email on file is only a placeholder, you see the same note.
If the bank does not accept the card, nothing is saved. Try another card. If you close the app or it goes to the background while you type, the card form closes and nothing is saved. Saving a card needs a connection and is never saved for later.
Record the customer’s OK for a card on file
Some cards are already on the customer’s account, but your studio does not yet have their OK to charge them when they are away. These cards show Needs their OK to charge here.
When the customer is with you:
- Tap Record the customer’s agreement on the card.
- Show the customer the agreement screen. When they agree, tick The customer read this and agrees.
- Tap Record the agreement and confirm with Face ID, fingerprint, or passcode (unless the studio turned the device check off for this device).
You see Agreement recorded. The customer gets the same kind of email as above.
Card states
Each card tells you where your studio stands. Backstage only offers the button when it can work.
| What you see | What it means | What to do |
|---|---|---|
| Needs their OK to charge here | The card is on the account, but your studio has no agreement yet. | Tap Record the customer’s agreement. |
| The studio stopped charging this card | Someone at your studio removed the card earlier. | When the customer is here, tap Record the customer’s agreement again. |
| The customer stopped this studio from charging this card | The customer turned your studio off in their own account. | Add the card again with the customer present. Only a new agreement from the customer can turn it back on. |
| This card was not saved at this studio | The customer saved it at another studio. | Add the card again with the customer present. |
Good to know
- On an iPad you type the card number from the card itself. Apple does not offer Tap to Pay on iPad.
- Backstage never saves the card number on your phone or tablet.
- The sample studio shows the same steps with practice fields and saves nothing.
- You can also add and authorize cards on the web. See Customer profile.
