Weekly spots

Enroll a student in the classes they attend every week, and pause, resume, or cancel a weekly spot.

A weekly spot holds a seat for a student in a class every week, so they do not have to book it each time. It works the same way as auto-enrollment on the web. Nothing is charged when you set one up. Your studio may use a different word for classes and students, and Backstage uses your words.

Seeing weekly spots needs permission to view customers. Changing them needs permission to manage customers. Without it, you see no buttons.

See a student’s weekly spots

On the student page, the Weekly spots section lists each spot with:

  • The class, the day and time, and who is attending.
  • How it is paid: a membership, or Pay at check-in.
  • The status: Active or Paused.
  • The next class and whether the seat is Confirmed, Awaiting renewal, Awaiting start, or Waitlisted.
  • A note if the membership has not started yet: spots are held until the membership starts and the first payment goes through.
  • A short line when a pause or cancel is already planned, like Pauses with a date.

Add weekly spots

  1. Tap Enroll in weekly spot on the student page.
  2. Choose Who is attending. For a family on one login, you can pick another person.
  3. Choose How is it paid?: Membership or Pay at check-in. For a membership, pick which one. Backstage shows what is left, such as “2 left this week”.
  4. Tick the classes. You can choose up to 20 at one time. Each class shows a short result as you pick:
    • Covered: the membership covers it.
    • Waits for renewal: the seat is held until the plan renews.
    • Over the limit: the plan has no classes left in that period.
    • Class is full: the student will be on the waiting list.
    • At the same time: it overlaps another class.
    • Not covered: the membership does not cover this class. Take it off the list.
  5. Choose whether to Notify the student. It is on by default, and one message lists all new spots. Turn it off if they are already with you.
  6. Tap Enroll in and the number of classes. All the spots are saved together, or none.

When Backstage asks you to confirm

Backstage does not stop you, but it asks you to check first.

  • This is more than the plan covers. The extra classes will be on the waiting list, even if the class has room. The student keeps a place. Tick I understand the extra classes will be on the waiting list.
  • Some classes are at the same time. Backstage names the classes that overlap. Tick I want to enroll anyway.

If you change any choice after ticking, the ticks reset and you check again. If something changed while you were choosing, Backstage shows the new numbers and saves nothing until you confirm again.

Pause, resume, or cancel

Tap the buttons on a weekly spot.

  • Pause: choose Immediate or Scheduled. You can add a resume date, or leave it blank to pause until you resume. Classes already booked in the paused time are released.
  • Resume: starts the spot again.
  • Cancel: choose Immediate or Scheduled. Booked classes from that date on are released. Classes before the date are not changed.
  • Edit, Cancel pause, or Undo cancel: change or undo a planned pause or cancel.
  • Set resume date or Edit resume date: on a paused spot.

A spot can have only one planned change at a time. Edit or undo it before you plan a new one. If a change is due right now, Backstage says it is being applied and cannot be edited.
